Early reservation
In order to secure your places on internal flights and accommodation and to book the best of the guides available, an early booking is always recommended.
Payment Schedule
Tour Deposit: US$200
If your trip involves internal air tickets, we may have to get the tickets issued within the deadline given by the airlines and we may request you the cost of the ticket along with the tour deposit.
After we receive the tour deposit, we process the booking of internal air tickets and hotels, and will get back to you with the confirmation within a week. If some internal airfares require immediately to be issued, we will ask you to wire the payment for.
Balance payment
Balance payment is due 60 days prior departure. Payment schedule may vary with customized and private trips on case to case basis. Tour reservation booked within 60 days prior departure may require to make full payment at the time of reservation. Any payment within 60 days prior departure must be made through wire transfer or cashier’s check.
Cancellation and refund
Notice of cancellation and refund request must be received in written form.
Cancellation charges
• 90 days prior departure: Administrative fee US$ 50 per person.
• 60-89 day's prior departure: US$ 250 or 25% of the land cost whichever is higher.
• 45 days to 59 days prior departure: US$ 450 or 50% of the land cost whichever is higher.
• 30 days to 44 days prior departure: US$ 600 or 75% of the land cost whichever is higher.
• Less than 30 days: 100%
Cancellation and refund of air tickets cost will be as per rules and regulations of the concerned airlines plus a service charge of US$ 25 per segment will be levied. Cancellation terms and conditions of certain services may vary which will be informed separately.
No partial refund will be granted on unused land portion once tour has begun for any reason whatsoever. Trip cancellation insurance is highly recommended. Once you have been confirmed on a trip that requires a medical certificate signed by a doctor, normal cancellation penalties apply if your doctor does not sign the certificate. We highly recommend that all clients purchase trip cancellation insurance.
Highland Asia Travel reserves the right to cancel any trip prior to departure for any reason whatsoever, including insufficient signup or logistical problems that may impede trip operations. Highland Asia Travel must normally make substantial payments to its suppliers (hotels, transportation companies, etc.) far in advance of the scheduled embarkation date. If a trip is canceled due to force majeure (acts of God, war, labor strikes, earthquake, flooding, etc.), Highland Asia Travel, Inc. will promptly refund the portion of the trip cost not already advanced to suppliers and use its best efforts to recover and refund the balance as promptly as possible. However, Highland Asia Travel, Inc, does not guarantee recovery of any or all of the advance payments made, and our use of best efforts to recover these payments will not include the institution of any legal proceedings in foreign jurisdictions. Highland Asia Travel, is not responsible for expenses incurred by trip members in preparing for a canceled trip (e.g., non refundable advance purchase air tickets, visa fees, inoculations, equipment, etc.) or for any additional arrangements should the trip member have embarked prior to the scheduled group departure date.
Claims for refund for services not provided must be accompanied by a statement from the Tour Manager or Guide or local Highland Asia representative certifying exactly the services not rendered. Voluntary non-usage of hotel accommodations, tour features and services are non refundable or exchangeable for other accommodations, tour features and services. Travel insurance, visa fee, and visa handling fee are non-refundable. Since most airline tickets are discounted in Highland Asia tour packages, refund may be subject to penalty from supplier or airline, may not be in full face value, and may require prepayment of processing fee to Highland Asia Travel. Please allow 4-6 weeks to process refund, and longer for airline ticket refund.
Trip Member Responsibilities
Trip members have the responsibility to select a trip appropriate to their abilities and interests. Trip members are held responsible for being in sufficient good health to undertake the trip. Trip members are responsible for preparing for the trip by studying the itinerary and pre-departure information packets sent by Highland Asia Travel, Inc. and for bringing the appropriate clothing and equipment as advised therein.
Limitations of Liability
In many cases, suppliers of tour services are independent contractors. For example, we use independent ground operators, tour guides, hotels, transportation companies, drivers, airlines, and other suppliers. Because we do not own, operate, manage, control, or supervise these entities, we cannot be liable for any acts or omissions, including any negligence, gross negligence, or reckless or willful acts, on their part. Highland Asia Travel Inc., its owners, agents, directors, shareholders, and employees assume no responsibility for any injury, loss, damage, delay, or death to person or property arising from the negligent or willful act or failure to act of any person who is to or does provide goods or services for this trip or for the action or inaction of any other third party. Without limitation, Highland Asia Travel is not responsible for acts of God, accident, equipment failures, vehicle accidents, illness from food or otherwise, detention, assaults, theft or criminal activity, annoyance, delays, quarantine, strikes, failure of any means of conveyance to arrive or depart as scheduled, civil disturbances, terrorism, government restrictions or regulations, and discrepancies or changes in transit or hotel services over which it has no control. Reasonable changes in the itinerary may be made where deemed advisable for the comfort and well being of the passengers. The right is reserved to substitute hotels, alter the itinerary, and reverse the order of places to be visited. You will be informed of any necessary changes in a timely fashion.
On advancement of deposit to Highland Asia Travel Inc., the depositor therefore agrees to be bound by the above recited terms and conditions. These are partial conditions and full list of terms will be sent upon confirmation of your trip.
Privacy Policy
We collect personally identifiable information, like names, postal addresses, email addresses, credit card information, etc when voluntarily submitted by our visitors. We do not collect information that we don’t need for your tour reservation process. The information you provide is used to fulfill your specific request, mail you travel brochure, tour itineraries and quotation and contact you in connection of your travel arrangement. Occasionally, you may also receive Highland Asia’s newsletter but if you do not want to be in the newsletter mailing list, you can unsubscribe yourself from the list or we will remove your address from the mailing list within 7 business days, once you notify us.
We do not sell or trade your personal information with any other third parties other than our authorized agents, suppliers or subsidiaries or government authorities who are involved in your travel reservation process and obtaining permits or visa for your travel.
Sharing of information
we may share information with governmental agencies or other companies assisting us in fraud prevention or investigation. We may do so when: (1) permitted or required by law; or, (2) trying to protect against or prevent actual or potential fraud or unauthorized transactions; or, (3) investigating fraud which has already taken place. The information is not provided to these companies for marketing purposes.
